Setting Up Your Business Details on TidyPapers โ€” What's Saved and What Isn't

Where your business name, address, logo and currency are saved, what's shared across tools, and what still isn't.

TidyPapers has no sign-up and no account, so there's no single "create your profile" step to complete before you start. Instead, TidyPapers keeps one shared business profile in your browser โ€” your business name, address, email, VAT/tax ID, logo, currency, and default hourly rate โ€” and most tools that ask for those details read from it automatically. This guide walks through exactly what that looks like, tool by tool, and clears up the one thing that's easy to assume wrong: not every field, and not every tool, is covered by the shared profile. (The full breakdown of what carries across tools โ€” including the timer and converter hand-offs into the invoice generator โ€” is in How Your Data Moves Between TidyPapers Tools.)

Where "your business details" live: the Invoice Generator

The most complete version of your business details lives on the homepage invoice generator (tidypapers.com/), under the "From" column of the invoice. These are the fields:

  1. Logo โ€” click the circular button in the top-left of the invoice (shows your initials as a placeholder until you add one) to open a file picker. Accepts PNG or JPEG image files. Once added, a small "ร—" button appears to remove it.
  2. Your name / business โ€” a text field for your name or company name. This also appears at the bottom of the invoice PDF as a footer credit line.
  3. Your address โ€” a multi-line text box for street, city, and country.
  4. Your email โ€” a text field for your contact email.
  5. VAT / Tax ID โ€” a text field, marked optional in its placeholder text.

Everything you type into these fields is saved automatically to your browser's local storage as you go โ€” there is no separate "Save" button for this section โ€” and every field except the logo is also written into the shared business profile, ready to fill in on the other tools listed below.

The "Your business profile" panel โ€” fill it in once

On several other tool pages, look for a compact "Your business profile" panel. It's the same shared data as the Invoice Generator's "From" column, just a smaller subset of fields depending on what that tool actually uses:

ToolProfile fields shown
Invoice Generator (/)Business name, address, email, VAT/Tax ID, currency
Deposit Invoice Generator (/deposit-invoice-generator/)Business name, currency
Change Order Generator (/change-order/)Business name
Client Onboarding Kit Generator (/onboarding-kit/)Business name
Kill Fee Clause Generator (/kill-fee-clause-generator/)Business name (the panel is there for convenience, but the clause itself has no business-name field โ€” see below)
Billable & Pomodoro Timer (/billable-timer/)Currency, default hourly rate
Hours to Decimal / Minutes to Decimal / Decimal to Minutes convertersCurrency, default hourly rate

Fill in the panel and click Save profile on any one of these pages, and the same values are ready the next time you open any of the others โ€” you don't need to retype your business name on each one anymore. A value you'd already typed directly into a specific tool's own field is never overwritten by the shared profile; the profile only fills in a field that's still blank.

The "Bill to" side is per-client, not per-business

Next to your details, the "Bill to" column holds the client's name and address for that specific invoice โ€” this is expected to change every time you invoice a different client, so don't expect it (or want it) to be remembered the same way your own business details are. The shared profile is only for *your* business identity; client details always stay specific to the document you're filling in.

What's still per-tool, not shared

A few things are deliberately not part of the shared profile, so don't go looking for them to carry over:

Setting a default accent color and currency

Two small preferences are worth knowing about since they affect how your documents look and calculate:

  1. Accent color โ€” on the invoice, four swatches let you pick the document's accent color: Rust, Blue, Green, or Ink. This is a per-tool visual setting, not part of the shared profile.
  2. Currency โ€” part of the shared profile on the tools listed in the table above. Set it once (on the Invoice Generator, the Timer, a converter, or the Deposit Invoice Generator) and the others in that list default to the same currency the next time you open them, until you change it on that specific page.

Clearing your saved details

Every TidyPapers tool that saves data has its own "Clear all" or "Clear all saved data" button (wording varies slightly by tool โ€” for example "๐Ÿ—‘๏ธ Clear all โ†’" on the Invoice Generator). Using it wipes that tool's own saved data โ€” line items, sessions, or calculator inputs โ€” but it does not clear your shared business profile; that lives separately and stays filled in on the other tools until you clear your browser's site data entirely.

What to expect the first time you use a new tool

  1. Open the tool.
  2. If it has a "Your business profile" panel, your business name (and currency or hourly rate, where relevant) should already be filled in if you've saved it anywhere on the list above โ€” nothing to retype.
  3. Fill in whatever's specific to that tool (client name, project details, line items) โ€” these always start out blank, since they're per-document, not part of your identity.
  4. Everything you type saves automatically as you go.
  5. The next time you open that same tool (same browser, same device), both your saved profile and that tool's own saved data are still there.
